  • Overview

    SUMMARY:  To serve as super user of HIM systems (Image Now, Solarity, and Dragon Medical One), serving as a resource for staff and training practitioners.  Responsible for monitoring completion of deficiencies by all practitioners and following established suspension policy and procedure when records are not completed according to established timeframes.



    • Train practitioners, their office staff and hospital staff on use of the Image Now system.
    • Act as liaison between I.T. department, hospital staff, practitioners and their staff and Image Now support.
    • Properly identifies deficiencies for inpatients (acute and rehab), observation, and same day surgery records by assigning tasks for signatures, or pointers for dictations, in Image Now for the appropriate practitioner.
    • Daily run the discharge list out of Meditech and look up each patient in Image Now and Meditech to verify if all required reports are present.
      • For any reports not present, assign a pointer to the appropriate practitioner within Image Now. Document missing documentation in the shared spreadsheet.
    • Run the delinquent record report at the end of each month for HRMC.
    • Monthly update the MD discharge and operative tracking report and notifies HIM and Medical Staff Directors.
    • Prepares and distributes incomplete and delinquent record notifications weekly.
    • Monitor pending CPOE orders and coordinate completion with appropriate staff.
    • Maintains a delinquent record rate that is less than 50% of the average monthly discharges.
    • Work with staff and doctors for timely completion of charts for coding, ROI, or other.
    • Assists with answering incoming department calls:
      • Any incomplete record related calls
      • Physician office requests for continuity of care
      • Opening records in Meditech for physicians on staff
      • Provides 3rd party insurance companies with admission and discharge dates
    • Assists with other projects as requested by the HIM Department Director.

    • Required: Minimum education level of high school diploma.
    • Required: A minimum of two years medical records experience in an acute care hospital or MD office.
    • Required: PC Experience working with any type of word processing and spreadsheet program (preferably MS Word and MS Excel).
    • Required: Excellent communication skills.
    • Required: Assertive personality.  This position is responsible for strongly and persistently communicating with the Medical Staff practitioners to facilitate the timely completion of records.
    • Preferred: Completion of college level coursework in Medical Terminology.
    • Preferred: H.I.T or R.H.I.A. credentials.
